TERMS FOR ENGAGEMENT FOR THRIFTY ROAD TRIPS PVT LTD AND THE CLIENT

This document sets out the terms and conditions upon which Thrifty Road Trips agrees to act on your behalf as a client with regard to planning and hosting tours. Your acceptance of any invoice and payment into the Thrifty Road Trips account indicates your explicit or tacit acceptance of the term set out below:

1. Authority

You give Thrifty Road Trips the authority to plan out the itinerary for travel, accommodation, and activities and to make any changes before or during the tour that Thrifty Road Trips may deem necessary in order to ensure the success of the tour.

2. Professional duties

2.1 Throughout the tour, Thrifty Road Trips will conduct itself in a professional and consistent manner. Our tour hosts are there to ensure you enjoy a comfortable trip and are at your disposal to a reasonable extent. Thrifty Road Trips and the tour hosts undertake to:

2.1.1 Resolve any disputes that may occur between the clients and service providers.

2.1.2 Facilitate and assist with any payments and communication between guests and service providers.

2.1.3 Ensure time-keeping in order to maximise the experience for all guests.

2.1.4 Make judgement calls and reasonable changes to the itinerary where necessary.

2.2 The client will be given up to 12 hours to report any problem to our tour host.

2.3 A client is not permitted to disclose any problem, or challenge with Thrifty Road Trips or any of its suppliers, to a third party or another client, failure to adhere to this provision can lead you to be excluded from the tour altogether.

3. Confidentiality

3.1 Thrifty Road Trips will treat all your personal information with the strictest confidence in accordance with the POPI Act.

3.2 In addition, Thrifty Road Trips will also treat any personal challenges you may have during the tour with the utmost confidence.

4. Package Costs

4.1 Thrifty Road Trips will only cater for what is outlined in the advertised flyer or brochure under what package includes.

4.2 An activity or meal may be outlined in the brochure as a guideline but it does not mean it is included in the package and remains highly optional for the traveller to opt-in or out.

4.3 Anything outside the advertised flyer will be at your own expense. We will provide guidelines as to the estimated costs of the exclusions but may be subject to change.

4.4 All activities are provided by a third-party service provider. Whilst Thrifty Road Trips negotiates the best possible price for you and endeavours to identify the best service provider for each activity, please note that the activities remain the sole mandate of the service provider and that Thrifty Road Trips is not liable for any changes to times, activities offered as well as price changes of the activities. All prices advertised in our brochure are accurate at the time of publishing and may be subject to change without notice.

4.5 Payments made to third-party service providers are non-refundable, therefore take care not to pay for an activity until you are fully satisfied that you will do it.

4.6 Other general costs not covered in the package.

4.7 Price advertised are per person sharing, single occupancy will attract an extra amount.

5. Payments and Cancellations

5.1 To secure one's booking a deposit must be paid. If a client wishes to cancel their booking their deposit will be forfeited. All deposits paid to Thrifty Road Trips are non-refundable.

5.2 Balances on all payments are due 14 working days before departure date, failure to settle the bill 14 days before will attract a R500 administration fine.

5.3 If a client cancels 90 days before the departure date 90% of the paid amount is refundable.

5.4 If a client cancels 60 days before the departure date 60% of the paid amount is refundable.

5.5 If a client cancels 30 or more days before the departure date 30% of the paid amount is refundable.

5.6 If a client cancels 30 or less days from the departure date the paid amount becomes non-refundable.

5.7 A client is eligible for 100% refund upon finding a suitable replacement.

5.8 Failure to join a tour will result in no refund. Failure to arrive on time for the bus or check in on time for your flight is not the responsibility of Thrifty Road Trips and will result in your forfeiture of the tour. No refunds will be awarded as travel costs for the tour would have already been settled by the day of travel.

5.9 All methods of payment are acceptable, however, cash deposit charges will be billed onto the account of the client.

5.10 Should the client wish to rebook for the next tour a penalty fee of R500 will apply for rebooking if it is within 30 days to departure date.

5.11 We reserve the right to postpone in the event of border closure, inadequate clients to run the tour, in the case of flood, riots, violence, pestilences, wars or any other acts of God.

5.12 In the event of postponement, we will be unable to refund the client but postpone the trip to date within 12 months from date of postponement.

5.13 Any amounts paid are non-transferrable to another client.

5.14 In the event of death, sickness, family emergencies or leave denied from work, all rules apply from 5.1 to 5.10, therefore it is in the interest of a client to purchase a suitable travel insurance.

6. Transportation and transfers

6.1 Transportation to our tours is provided via road and air depending on the tour. It is your responsibility to be at the appropriate pick-up point on time.

6.2 For the purpose of activities, transport to and from the activities is provided by the service provider and it is your responsibility to ensure that you are at the appropriate pick-up and drop-off point on time as scheduled by the service provider. Should you miss your transport, transport can be provided for you via taxi at your own cost and not at the expense of Thrifty Road Trips

6.3 Ensure you get to the airport on time. Thrifty Road Trips will not be responsible for any missed flights and will not issue refunds should you fail to get an alternative flight at your own cost.

7. Immigration

7.1 Border etiquette is to be observed at all times. During border crossings, follow the instructions of the drivers and tour hosts to ensure a smooth crossing. Respect all border officials and speak to them with respect.

8. Client Etiquette

8.1 Drunkard behaviour will not be tolerated and anyone who consumes alcohol in excess and becomes a nuisance shall be dropped off at the nearest police station

8.2 Time – please ensure to observe time always and be at the various pick-up points well in advance of the departure time. Failure to arrive on time will result in you being left behind and you will have to transport yourself at your own cost.

8.3 Behaviour – Conduct yourself in a respectable manner all time and treat all guests, employees of Thrifty Road Trips and service providers with respect. Mind your language and should you have any disputes, contact your tour host as a first point of reference.

8.4 The use of recreational drugs and transportation of recreational drugs is not allowed in any of the countries that we go to on tour.

8.5 Failure to adhere to any of these will result in your admission to a place being revoked and may lead to the police being called to control the situation.

9. Indemnification

9.1 Apart from instances of dishonesty or gross negligence, Thrifty Road Trips will not be liable for:

9.1.1 any loss or damage caused by any cancellations, delays or rebookings with Thrity Road Trips services

9.1.2 any loss of profits suffered by you or a third party in connection with the Thrifty Road Trips services

9.1.3 any indirect or consequential loss of whatever nature

9.1.4 any loss arising directly or indirectly due to any negligence on the part of Thrifty Road Trips or its employees or agents

9.1.5 any third party liability.

9.2 You agree to hold harmless and indemnify Thrifty Road Trips against any losses, expenses or claims by yourself or any third party arising as a result of the provision of Thrifty Road Trips services.

9.3 Thrifty Road Trips and/or its employees shall never be liable to you in respect of consequential, indirect or special costs and/or damages.

9.4. You understand and agree that Thrifty Road Trips services extended to you are based on your host country and not your home country, therefore laws of that country have to be respected and abided by.

10. Passport

10.1 Your passport must be valid for at least 6 months after your date of return on any trip. You will not be allowed into a country if your passport expires before the 6 month period.

10.2 If you are a South African permanent resident travelling on a foreign passport, ensure you have the right documentation to travel.

10.3 Your travel documents have to be in the name appearing on your passport.

10.4 Kindly inform our travel consultation which passport you will be using to travel.

11. Entry Requirements

11.1 Clients must ensure that they comply with the requirements to enter the host country on the following matter-

11.1.1 COVID Certificate-can vary from country to country.

11.1.2 Yellow fever- can vary from country to country.

12.1.3 Malaria- can vary from country to country.

11.1.4 Visa- The client will be liable to get their own visas, we only provide visa advice and NOT assistance.

12. CHANGES MADE ON THE PACKAGE

12.1 We reserve the right to change accommodation in the event of financial or booking, challenges or any other challenges.

12.2 We reserve the right to change the cost of the package in the event of a fuel price increase, exchange rate, unexpected flight price increase or last-minute booking.

12.3 We reserve the right to change the recommended airline in the event of a fuel price increase, exchange rate, unexpected flight price increase or last-minute booking.

12.4 We reserve the right to change the itinerary as and when necessary to make travel easier, healthier, quicker and most importantly for it to hold financial sense for the client and for us.

12.5 We reserve to make changes to our package where a service provider is no longer able to fulfill the service for whatever reason.

12.6 We reserve the right to change the dates of a package where it is not financially feasible to run the tour.
